Case study

Hotel Management System

An all-in-one hotel system: reservations, front office, restaurant and bar, inventory, HR and double-entry accounting.

Context

A team-built hotel system, now running live at several hotels. It covers rooms and reservations, the front office, restaurant, cafe and bar point of sale with kitchen order tickets, inventory, HR, assets, banquets, laundry and full double-entry accounting with a night audit.

The challenge

Hotels needed one system for rooms and reservations, the front office, restaurant and bar, stock, staff and double-entry accounts.

Decisions

  1. The general ledger became the single source for revenue reports, with tests.
  2. Reconciliation scripts for debtors, agents and creditors run as a dry run first, with a trial balance check.
  3. Opening balances link to ledger entities, and journal entries sit under vouchers.
  4. Inventory cost is recognised when stock is issued rather than when it is bought.

What I built

  • General ledger as the single source for revenue reports, with tests
  • Dry-run-first reconciliation for debtors, agents and creditors, and a trial balance check
  • Journal entries under vouchers, and opening balances linked to ledger entities
  • Inventory cost recognised at issue rather than at purchase
  • Reservation amendments before check-in, OTA confirmation numbers and occupancy types
  • Daily sheet, long forecast, and revenue, sales and stock movement reports
  • Recipe wastage, staff meals, and restaurant credit bills charged to travel agents

My part

I am the largest single contributor. My work is mostly in accounting, reports and reservations.

Outcome

Running live at several hotels.
